Cohort Management

In the Manage Student Groups page, DataZone users will be able to create a new student group or a new user group.

How to Create a New Custom Student Group

In the past, DataZone users were only able to create a student group after drilling down into a metric and getting a student list. Now users can create custom student groups with a list of local student IDs.

  1. The Student Groups drop down menu is available on the Student Search page or while you are drilled into a metric with a student list. To create your own custom student group, select Manage Student Groups.

  1. Select + New Student Group

  1. Enter a Name for the student group, check the effective dates, and click on Save.

  1. Search for students by name or local student ID individually. Students added to the group will display below the search and upload file function. See step 5 to bulk add students to the student group.

  1. To bulk add students to the Student Group, click on Choose File to select a csv file containing local student IDs. A success message will pop up to show how many students were added to the group and the students will display below the upload function. Click on Save.

How to Create a Staff User Group (to share your custom student groups)

You can include staff with access to DataZone in user groups. Once you create user groups, you can easily share any of your custom student groups with any of the user groups. The users in the user group will only be able to view students that they have permissions to access. For example, if you create a district wide student group for chronically absent students and share it with a principal who only has site access, he/she will only be able to view the students in that group that are at their site.

  1. From the Manage Student Groups page, click on Manage Student Groups.

  1. Select User Groups.

  1. Enter a Name for the User Group, and add users to the group by searching for staff. Select the correct staff name. Staff added to the user group will display below the search function.
