Student Profile

DataZone and the student data warehouse maintain detailed student data from your district’s Student Information System (SIS). As you can see below, the Student Profile contains basic information about the student such as Student ID, school, birthdate in addition to a list of referrals, and events linked to a child for the existing school year.

Viewing a Student’s Profile

In order to view a student’s profile, use Search under Students. You can search for a student using your district's local student ID, the state student ID (SSID) or first and last names.

Creating a Student Referral

There are two ways to create a referral for a student. 

Method 1: Use the Search box in the Students section in order to search for a student and complete a Referral Form

Method 2: Click ADD in Referrals and look up a student to add a complete a Referral Form.

Note: Both methods send you to STUDENT SEARCH. From there you will Add and create a new referral for a student.


Method 1: Using Student Search

  1. Look-up the student using the Student Search feature/box.  You can search for students using your district's local student ID, the state student ID (SSID) or first and last names.

The Student’s Name will appear in the list - which will include their Name, IDs (Local is a District generated ID, State ID is a universal state-issued ID) as well as Date of Birth, Grade, and current School. 

  1. Click on the Student’s Name.

2. A new page will appear with the Student’s Profile. 

3. Click on New Referral to open the referral form.

4. Complete the New Student Referral Form (click to link to the left to see more information about how to complete the New Student Referral Form)


Method 2: Use Referrals to ADD

The second method also prompts you to search for a student and then add the referral.

In order to add a referral to a student’s profile, click on Add

  1. You will be directed to SEARCH for a student. (see also instructions and screenshots above in Method 1)

  2. A new page will appear with the Student’s Profile. 

  3. Click on + New Referral button to open the referral form.

Understanding Referrals and the Referral List

View Referral List

Coordinators can view a list of students, the organizations and services to which they have been referred as well as the Date Referred and Status.

The Referral List contains one row per student by organization. Each of these can be filtered using the filters at the top. Coordinators can search for referrals by Provider (a.k.a. Organization), Services, Status, and School Year (this refers to the year in which the referral was created).


For each referral in the list you can, easily View the Student Profile or Edit the Referral by clicking on the icons in the far right column.

Note: Referrals that are listed from previous years can be edited. We strongly encourage caution when editing across school years. *****(need to update?
